Funding Sources Page Overview
The Funding Source page is the first to display when accessing funding sources.
Fields and Buttons
The fields and buttons located on this page are:
- Project Name: This field displays the project name.
- Project Number: If available, the project number displays in this field. Project numbers allow you to have a unique identifier for each of your projects. Account administrators can add project numbers by going to Administration Tools > Projects > Project Settings > Choose a custom field option from the Project Number Custom Field drop-down menu.
- Do Not Allow Committed Amounts to Exceed Funding Source Amounts: A check mark displays if commitment totals cannot exceed the amount available in funding sources. This is a setting that can be modified by account administrators. Depending on the account settings, this may or may not be edited at the project level. - Do Not Allow Actual Costs to Exceed Funding Source Amounts: A check mark displays if invoice totals cannot exceed the amount available in funding sources. This is a setting that can be modified by account administrators. Depending on the account settings, this may or may not be edited at the project level. The Quick Cost Summary offers a more condensed, yet comprehensive view of the budget, providing current status of the original budget, current commitments and invoices paid to date.
- Current Budget: This is the approved original budget and all approved budget changes.
- Current Commitments: This is the amount of all approved commitment changes plus original commitments, and approved general invoices. The formula is as follows: (approved commitment changes) + (original commitments) + (approved general invoices).
- Actuals Approved: This is the amount of all approved invoices.
- Actual Cost to Complete: This is the total invoice amount needed to fulfill all commitments. The formula is as follows: (projected commitments) (actuals approved).
- Available Funds: This is the amount of funds available in your funding sources.
Funds are not depleted from the funding source until invoices have been approved. This total does not take into account invoices marked received.
- Forecasted Over/ (Under): This figure represents the amount above or under the forecasted budget. This total is the difference between the estimate at completion and the current budget. The formula is as follows: (estimate at completion) (current budget). For more information on the forecasting utility, see Forecasting.
This tab displays by default and lists all existing funding sources for the selected project.
- Apply Template: Click to apply funding templates. These templates are created by your e-Builder account administrator. For more information, see Working with Funding Templates.
- Add: Click to add new funding sources.
- Export to Excel® Icon ( ): Click to export the funding source details to a Microsoft Excel® spreadsheet.
- Edit: Click to make changes to the funding source.
- Name: Displays the name of the funding source. Click to open the Funding Source Details page to view more information, add funds or take additional action on the funding source.
- Description: Displays the description of the funding source.
- Funding Category: Displays the funding category the funding source belongs to. For more information, see Working with Funding Categories.
- Total Funds: Displays the total amount that has been deposited into the funding source.
The Remaining Funds field displays the total amount remaining to date.
- Budgeted: This column appears only if funding is enabled at the budget level. For more information, see Funding Settings Page Overview. Displays the total amount of the budget line items associated to this funding source.
- Committed: Displays the amount from the funding source that has been accounted for in a commitment.
Funds are not depleted from the funding source until invoices have been approved. This total does not take into account invoices marked received.
- Remaining Funds: Displays the amount currently available in the funding source.
Use this tab to view, add or modify funding rules. For more information, see About Funding Rules.
- Add: Click to add funding rules.
- Export to Excel® Icon ( ): Click to export the funding rule details to a Microsoft Excel® spreadsheet.
- Source: Each funding rule is listed in bold and beneath each section, are the funding sources that make up the rule. The percentage that will be taken from each funding source is listed in the Percentage column.
- Percentage: Displays the percentage that will be taken from the corresponding funding source.
