Commitment Change Details Page
To access the Commitment Change Details page
- Go to the Cost Summary page.
- Click the Commitments link located in the In the left navigation bar.
- On the Commitment page, click the commitment number or description of the commitment.
- On the Commitment Details page, click the Commitment Changes tab.
- Click the commitment change number link to view the change details.
- Mail Merge: Click to open a mail merge document. In e-Builder, a mail merge document is a Microsoft Word® or PDF® print out of the data currently in view. Mail merge templates can be generic, providing just the data currently in view, or custom. If a template has not been created for your project, a generic printout opens. Custom templates provide additional cost data. These templates are created by your e-Builder Administrator and can be tailored with field mappings to capture very specific cost information. - Make Pending: Click to mark the commitment as pending. In a process, the status might automatically be set once the process enters a specific step. The pending status is usually used to refer to commitments that are pending a hard signature.
- Edit: Click to edit the details of the commitment change.
- Make Projected: Click to mark the commitment as projected. In a process, the status might automatically be set once the process enters a specific step. The projected status is used to account for anticipated commitments that you want to start accounting for.
- Request Approval: Click to request a commitment approval. Only users with Approve Commit Changes permissions. For more information, see Manage Permissions.
- Approve: Displays for users with Approve Final Commit permissions. Click to approve a commitment.
- Delete: Click to delete the commitment change.
- Project: This field displays the project name. Click this link to open the Commitment Details page.
- Commitment: Click this link to open the Commitment Details page.
- Change Number: This is the commitment change number used to identify the change.
- Reason For Change: This field displays the reason code. Reason codes are entered into e-Builder by your account administrator, for more information, see Reason Codes.
- Applies To: This field displays whether the change was applied to the approved changes or to the original commitment amount. This setting is linked to the reason code and determined by the account administrator at the time of adding reason codes. If the change applies to the Original Amount, the amounts will not be reflected as changes on the project; instead they will affect the original commitment only. If set to Approved Changes, the amount will be reflected as a change to the commitment on the project.
- Description: This is the description of the commitment change.
- Project Number: If applicable, this field displays the project number.
- Status: This is the status of the commitment change.
- Company: This is the name of the company the commitment was made with.
- Date of Change: This is the date that the change was created.
- Created: This is the date that the commitment change was created. The name of the user who created it is in parentheses.
- Controlling Process: This field displays if a cost process exists for the commitment change. If the process is not yet completed (not in the approve or void status) it can only be updated in the process and not in the Cost module; in which case the action buttons (Make Pending, Make Projected, Edit, etc.) will not display.
- Adjustment Amount: This field displays the absolute value of a net zero change. This amount can be pulled into reports and also added to a conditional branch process step.
The Quick Cost Summary section offers a more condensed, yet comprehensive view of the budget, providing current status of the original budget, current commitments and invoices paid to date.
- Current Budget: This is the approved original budget and all approved budget changes.
- Current Commitments: This is the amount of all approved commitment changes plus original commitments, and approved general invoices. The formula is as follows: (approved commitment changes) + (original commitments) + (approved general invoices).
- Actuals Approved: This is the amount of all approved invoices.
- Actual Cost to Complete: This is the total invoice amount needed to fulfill all commitments. The formula is as follows: (projected commitments) (actuals approved).
- Available Funds: This is the total amount of funds available in your funding sources.
Funds are not depleted from the funding source until invoices have been approved. This total does not take into account invoices marked received.
- Forecasted Over/ (Under): This figure represents an amount above or under the forecasted budget. This total is the difference between the estimate at completion and the current budget. The formula is as follows: (estimate at completion) (current budget). For more information on the forecasting utility, see Forecasting.
From this tab can add commitment change items, view funding distribution percentages and details of the commitment change items.
- View Funding: Click to open the Funding Distribution dialog box and view funding distributions across funding sources/ categories. Click Edit and then Manage Funding to use the funding distribution tool to automatically or manually distribute funds from funding sources/ categories to evenly. - Add All Line Items: Click to add all commitment items to the commitment change.
- Add Item: Click to add a new item to the commitment change. You will be able to add the item to an existing commitment item or create a new commitment item to add the commitment change to.
This tab displays any commitment change custom fields. For more information on commitment custom fields, see Cost Custom Fields.
This tab displays notes that have been added to the commitment change. From here you can also add notes to the commitment change.
This tab displays files that have been attached to the commitment change. From here you can also attach or remove documents from the commitment change.
This tab displays forms that have been attached to the invoice. From here you can also attach or remove documents from the commitment change.
This tab displays processes that have been attached to the invoice. From here you can also attach or remove processes from the commitment change.
