Line Item Details Page

This page is displayed when line item numbers are selected on the Budget Details page. When the budget is approved, from here you have access to several details related to the budget line item, such as a financial summary that provides a snapshot of line item details. View and add notes, budget changes, commitments and more. When the budget is not yet approved you can edit line item details; modify line item custom fields if configured on account; attach documents, processes and forms.

A New Line Item added to an Approved Budget cannot add money to the Budget. The amount of the change is reflected only through a budget change. For more information, see Add Budget Changes.

  • Edit Details: Click to open the Add/Edit Line Item page and make changes to the details of the budget line item such as the description, funding rule or whether or not the line item is an allowance.
  • Financial Summary Tab: This tab is selected by default when accessing this page. It provides a snapshot of the overall financial state of the budget line item. Details such as the original, approved budget changes and current budget amounts are provided along with commitment, commitment changes and actual cost item information.
  • Notes Tab: Click this tab to add notes to the budget line item or view any existing notes there may be.
  • Budget Changes Tab: Click this tab to view a list of budget changes associated with this particular budget line item. Click the budget change number to open the Budget Change Details page for more information about the change. Click the Excel icon to export data to a spreadsheet. Use the Show drop-down arrow to filter on the different budget change statuses.
  • Commitments Tab: Click this tab to view a list of commitments against this particular budget line item. Click the commitment number to open the Commitment Details page for more information. Click the Excel icon to export data to a spreadsheet. Use the Show drop-down arrow to filter on the different commitment statuses.
  • Commitment Changes Tab: Click this tab to quickly view commitment changes associated with the line item. The change number, change description, commitment number, description, company, status, and total change amount are available for viewing. Further detail on the commitment change can be accessed by clicking on the change number. Use the Show drop-down arrow to filter on the different commitment change statuses.
  • Actual Costs Tab: Click this tab to view a list of commitment and general invoices processed against this budget line item and their status. The invoice number link opens the Invoice Details page, the commitment number opens the Commitment Details page and the company name link takes you to the Company Details page. Use the filter to narrow the results on the All Invoices table. Click the Excel icon to export data to a spreadsheet.

  • Custom Fields Tab: Click this tab to view a list of budget line item custom fields. These custom fields are added by the account administrator and are filled out when adding a budget line item. For more information on managing Cost custom field, see Cost Custom Fields.
  • Documents Tab: Click this tab to attach documents to the budget line item or view any existing documents that may already be attached. If you have the proper permissions you can also remove attached documents from this tab.
  • Forms Tab: Click this tab to attach forms to the budget line item or view any existing forms that may already be attached. If you have the proper permissions you can also remove attached forms from this tab.
  • Processes Tab: Click this tab to attach processes to the budget line item or view any existing forms that may already be attached. If you have the proper permissions you can also remove attached forms from this tab.
