Report Subscriptions

Subscriptions provide the capability to schedule the automatic distribution on a report to specific user by email. Creating subscriptions is an ideal way to provide licensed users with reports on a scheduled and regular basis without them having to log into e-Builder to access the report.

Administrators can view and modify subscriptions to reports using the Subscriptions - Reports page in e-Builder.

Dates and times shown in scheduled reports are converted to the time zone of the user who created the scheduled report. This can make dates look incorrect if the scheduled report's time zone is different from the receiving user's time zone.

  • To setup a subscription is exactly the same process as setting a personal subscription in My Settings. The only difference as an e-Builder Administrator is that you can setup a report subscription for another user.

  • It is recommended that you show the users how to create their own report subscriptions. This allows them to manage or remove it at any time in the future without having to come to the e-Builder Administrator to change.

Use the Subscriptions - Reports page to view all the scheduled reports.

To access subscription reports

  1. From the top navigation tabs, click the Setup tab.

    2. If the Setup tab is not visible, click Access the Setup Tab, and then select the Setup check box.

  2. Click Automation to expand it and then expand Subscriptions.
  3. Click Reports.
    The Subscriptions - Reports page is displayed.

Report subscriptions can be edited using the Schedule Reports Wizard.

You can come back and modify the view access criteria at any time. Once you make the update and click Save, the change will be reflected on all users views who have access or had access removed.

  1. Go to the Subscriptions - Reports page.
  2. Click Edit beside the report subscription you wish to modify.
    The Edit Schedule Report page (Step 1 of 4) is displayed.
  3. This page allows you to change the report and output type. To change additional details, click Next. Step 2 of 4 is displayed.
  4. This page allows you to change the standard name of the output file, the name of the schedule and the frequency at which to run the report. To change additional details, click Next. Step 3 of 4 is displayed.
  5. This page allows you to change the days of the week, and time you'd like to receive this report. To change additional details, click Next. Step 4 of 4 is displayed.
  6. This page allows you to change the delivery method and copied users that will receive this report.
  7. Click Save.

You can disable an already existing report subscription if you no longer wish to use it. The same report subscription can be re-enabled later as well.

  1. Go to the Subscriptions - Reports page.
  2. Click the Enable/ Disable toggle beside the report subscription you wish to enable or disable.

An existing report subscription can be permanently deleted from e-Builder.

If a scheduled report is deleted, it cannot be recovered.

  1. Go to the Subscriptions - Reports page.
  2. Click Delete beside the report subscription you wish to remove.
  3. Click Yes to confirm the deletion.

An existing scheduled report can be run from the Subscriptions - Reports page e-Builder.

  1. Open the Subscriptions - Reports page.
  2. Click Run Now next to the report you wish to run.

    3. You must have the role that is authorized to run the report.

You can view the execution history of scheduled reports using the Scheduled Report History feature in e-Builder.

The Scheduled Report History page displays a log of every time a report succeed or failed when it was run. Only one year of history data for these two tables will be kept active for reporting purposes. Older data will be archived and can be made available by request, for audit support or investigations. Please contact e-Builder Support to request this information.

  1. Go to the Subscriptions - Reports page.
  2. Use the following fields to narrow down the history results:
    • Show only reports for user: The first drop-down selection is to select the role that the user is in. When a role is selected, the second drop-down will only display users within that role on the account.
  3. Click the status in the Last Result Status column beside the report to view its history.
    The Scheduled Report History page is displayed.
  4. Use the following Filter section to sort the history records:
    • Show Only Failed: Select this check box to display only failed results.
    • Start Date: Select a date range for the report history records in the From and To fields.
  5. The following fields are displayed for the report history:
    • Name: The name of the report.
    • Schedule: The report schedule when it will be run.
    • Start Date: The date and time when the system started executing the report.
    • Execution Time: The time taken in minutes and seconds to execute the scheduled report.
    • Result: The result of the execution. Click the result to view the specifics of the result details.
