Form Type Permissions Page
Form permissions are role specific, and cannot be set for individual users. Add the roles you wish to specify permissions for, and then create your settings for each selection.
Fields and Buttons
A description of each field and button is provided below:
- OK/ Apply: Click to save changes.
- Cancel: Click to cancel and return to the Manage Form Types page. All unsaved changes will be lost.
- All users may fill out [Form Type Name] even if they do not have Create permissions: Select to give all users on the account ability to fill out this form type.
- Add: Click to open the Add Permissions dialog box and select the account roles you want to set access rights for. For your convenience, you have the choice of specifying permissions on the Add Permissions dialog box or on this page; the same permission check boxes are available on both.
- Remove: Click to remove the selected role from the list of roles below.
- List Members: Click to open the Members dialog box and view who the members of the selected role are.
- View: Select to allow users in the highlighted role permission to view all filled out forms of this type on their projects. (Any author or recipient of a form will be able to see the forms they created/received, regardless of this permission.)
- Download: Select to allow users in the highlighted role to download files attached directly to the form. (See also Redline Markup below.)
- Comment: Select to allow users in the highlighted role to comment on this form type.
- Redline Markup: Select to apply the permissions of the destination folder to the attached files uploaded directly from a user's computer and not from the e-Builder Documents module. If uploaded from the document folder structure it will assume the permissions of the destination folder.
- Modify: Select to allow users in the highlighted role to update dynamic fields of completed forms, even if the form is not in their court. Dynamic fields are those that are editable after the form has been posted.
- Create: Select to allow users in the highlighted role to fill out new form instances. If a user does not have this permission, the form type will not be listed when the Fill Out Form button is clicked in the Forms module. Those with this permission will automatically inherit View Draft privileges.
- CC Users: Select to allow users in the highlighted role to copy other users when replying, forwarding, or adding a comment to the form type.
- View Drafts: Draft forms may be created for many different reasons. For example, multiple RFI's may be created for the same item by different people and the draft form may never be deleted. This permission gives users in the highlighted role the ability to view and take action on draft forms. Everyone is able to see their own draft forms, but to see the drafts of others, this permission setting is required. Also, those with Create permissions automatically inherit View Draft permission. Draft forms are accessible from the Unfinished Drafts page and by filtering for drafts on the Project Forms page.
- No Access: This role has no access to this form. This permission overrides any other permissions the user may be granted. Once you have selected your permissions, click Apply.
- Apply permissions to existing forms (will only apply changes to the permissions): Select to apply the permissions you've set, for each user role, to all existing form instances of the selected form type. This setting will apply to all open form instances as well.
- Overwrite Permissions (will update all role permissions to match the above): Select to overwrite existing form type permissions to match the current settings. This setting allows you to reconcile permission inconsistencies and determine exactly which roles have access to different form types.
