Project Cash Flow Page Overview

The Project Cash Flow page is the first to display when accessing Cash Flows. From here you can setup your cash flow, view the existing current cash flow and take steps toward making updates.

Fields and Buttons

The fields and buttons located on this page are:

  • Previous cash Flows: Click this button to open the Previous Cash Flow page and view a list of all previous cash flows.
  • Setup Cash Flow: Click this button to open the Setup Cash Flow page and set cash flow curves or each of your budget line items. Setting up the cash flow is the first step in using this function.
  • Update Cash Flow: Click this button to open the Update Cash Flow page and recalculate the cash flow based on different cost entities. The cash flow should be updated monthly, so you project how much money will be needed in the coming months.
  • Cash Flow Summary:
    • Project This field displays the name of the project that you're currently in.
    • Current Cash Flow This field displays the name of the current cash flow. Click this link to open the View Cash Flow page to take further action on the cash flow.
    • DescriptionThis field displays the description of the current cash flow.
  • Quick Cost Summary: The Quick Cost Summary offers a more condensed, yet comprehensive view of the budget, providing current status of the original budget, current commitments and invoices paid to date.
    • Current Budget: This is the approved original budget and all approved budget changes.
    • Current Commitments: This is the amount of all approved commitment changes plus original commitments, and approved general invoices. The formula is as follows: (approved commitment changes) + (original commitments) + (approved general invoices).
    • Actuals Approved: This is the amount of all approved invoices.
    • Actual Cost to Complete: This is the total invoice amount needed to fulfill all commitments. The formula is as follows: (projected commitments) – (actuals approved).
    • Available Funds: This is the total amount of funds available in your funding sources.

      Funds are not depleted from the funding source until invoices have been approved. This total does not take into account invoices marked received.

    • Forecasted Over/ (Under): This figure represents an amount above or under the forecasted budget. This total is the difference between the estimate at completion and the current budget. The formula is as follows: (estimate at completion) – (current budget). For more information on the forecasting utility, see Forecasting.
  • Current Cash Flow Table:
    • Group By: Groups the items by account code or as a list of line items.
    • Collapse All: Displays the subtotals under each grouping. Available only when grouped by account code.
    • Expand All: Displays all the line items under each grouping. Available only when grouped by account code.
    • Show all previous months: Select this check box to display cash flow figures for all previous months of the project. All earlier months reflect the actual costs entered for the project in those months.
    • Line Item: This is the budget line item number.
    • Description: This is the description of the budget line item.
    • Projected Budget: This total includes the original budget amount plus all pending, projected, and approved budget changes.
    • Projected Commitments: This total is the sum of current commitments, pending commitments, pending commitment changes and projected commitments.
    • Estimate at Completion: This is the amount that is needed to complete the project based on the current budget. The formula is as follows: (projected commitments) + (forecasted commitments) + (unallocated reserve).
    • Actuals To Date: This is the total amount of paid or approved invoices to date.
