Bidding Custom Fields

Bidding custom fields are definable fields that drive reporting for bids when bidding and sending invitations. Custom fields are created to contain additional event information that is not part of the standard bid information or used in reports to define or separate bids.

During the Bidding setup process, you can add the following custom fields:

The custom fields set up in this section will be displayed on the Custom Fields tab of the Bid Package Details page ( Bid Package Details page > Bidding Details tab> Custom Fields tab).

The custom fields set up in this section will be displayed on the Invite Bidders page in the Bidding module( This page can be accessed by clicking the Invite button on the Potential Bidders tab and Invited Bidders tab on the Bid Package Details page).

All account level bid submission custom fields of the type "File" will be available for selection from the Custom File Fields list while editing the Bid Package Details page. These custom fields can be marked as required to ensure that the bidders submit the specific documents along with their response.

Upon bid submission, one folder will be created for each bid containing both bid submission custom field information and supporting documentation files. All uploaded files are stored in the Response Documents folder defined by the Bid Manager. When the bid is submitted, this folder will not be visible in the Documents module until the bid tab is opened.

Add Bidding Custom Fields

Custom fields are added to this section in the same way. You can add bid package, invitation and bid submission custom fields as follows.

  1. Go to the Bidding settings.
  2. Expand Custom Fields.
  3. Click Bid Package, Invitation or Bid Submission.
  4. Click Add Field.
    The Add Custom Field page is displayed.
  5. Select a data type, and then click Next.
  6. On the Custom Field Details page, enter a name for the custom field in the Field Label field.
  7. Enter or select the following field details:
    • Description: Add a description for the custom field. When added, this description is displayed as a tool tip beside the custom field name.
    • Required: Select this check box to make this field a required one.
    • Permission: Select the View and Edit permissions as needed for this field. The permission options are only available for Bid Package and Invitation custom fields and for Bid Submission Custom Fields of the type "File".
    • Destination Folder Path: Click Select Folder to specify a destination folder path for the file upload. This field is displayed only while creating a custom field of the "File" data type.

      For custom fields of the "File" data type, it is mandatory that you specify the destination folder path for the file.

  8. Click Next.
  9. Review the details of the custom field.
  10. If changes are required, click Previous to navigate to the appropriate page and make changes.
