Update Cash Flow Page
The View Cash Flow page provides details of the current or previous cash flows. From here you can make changes to the way cash flow curves are setup, update you cash flow by allocating funds and you can also make the cash flow you are viewing the baseline for the project.
The cutoff for any updates to reflect in the current month is 11:59 PM UTC (Coordinated Universal Time) on the last day of the month regardless of your individual time zone setting.
The fields and buttons on this page are:
- Save: Click this button to save changes.
- Cancel: Click this button to cancel any changes you have made. All unsaved changes will be lost.
- Project: This field displays the project name.
- Current Cash Flow: This field displays the title of the current cash flow.
- Description: Enter a description for the cash flow in this field.
- Forecast cash flow using (Filter): You must choose the amounts by which to base your cash flow projections. The first drop-down menu includes the following options:
- Projected Budget: This option does not take your commitments into account. The Project Budget is the original budget amount plus all pending, projected, and approved budget changes.
- Projected Commitments: This is the sum of your current commitments, pending commitments, pending commitment changes and projected commitments.
- Estimate at Completion: This option is only available if you are using the Forecasting toolset. In which case, this is the recommended option. The Estimate at Completion is equal to the current budget + projected commitments + forecasted commitments.
These options are made in combination with any of the following invoice status options:
- Actuals Received: This is the amount of all approved invoices as well as those marked received. Received is a status that may or may not be used, but once invoices have been approved, they will automatically display in this column whether they were marked received or not. In a process, this status might automatically be applied once the process enters a specific step.
- Actuals Approved: This is the amount of all approved invoices. In a process, this status is automatically be applied once the process enters a specific step.
- Actuals Paid: Paid is a status that may or may not be used. In a process, this status might automatically be applied once the process enters a specific step.
- Net Actuals Approved: This is the total amount of approved invoices less retainage held (retainage not yet paid).
- Net Actuals Paid: This is the amount of all invoices that have been paid, not including retainage. The formula is as follows: paid invoices retainage held (retainage not yet paid).
- Must allocate all funds in projections: If this check box is selected you cannot save the cash flow until all funds are allocated. If you will not be allocating all funds on a line, you must uncheck this to save the cash flow.
- Show all previous months: Select this check box to see figures for all previous months display on the table below.
Previous months are actuals that have been approved or paid (based on the forecast selection) during that month.
- Group By: Groups the items by account code or as a list of line items.
- Collapse All: Displays the subtotals under each grouping. Available only when grouped by account code.
- Expand All: Displays all the line items under each grouping. Available only when grouped by account code.
- Export: Click this button to export the figures currently displayed to an Excel® spreadsheet.
The cash flow projections can be updated on the spreadsheet and imported back into Trimble Unity Construct.
- Import: Click this button to import cash flow figures.
The import spreadsheet must be the Excel® spreadsheet template that was exported. You cannot use a new workbook to import.
- Recalculate Selected: Click this button to reallocate funds based on cash flow curves that have been established for the selected budget line item. Funds in the remaining to be allocated column will be dispersed based on the specified months (based on the schedule link type).
- Recalculate All: For all budget line items using cash flow curves, pressing this button will automatically allocate the funds in the remaining to be allocated column for the specified months (based on the schedule link type).
- Update Cash Flow Table:
- Line Item: Displays the budget line item number.
- Description: Displays the description of the budget line item.
- Projected Budget: Based on the forecast using this selection, this column displays either the projected budget, projected commitments or estimate at completion.
- Actuals To Date: Based on the status selected in the forecast being used, this column displays either the actuals approved, actuals paid, net actuals approved or net actuals paid.
- Remaining To Be Allocated: This column displays the amount of funds that remain in the budget to be allocated.
- Custom Fields Tab: If your account is using Cash Flow custom fields click this tab to update the field(s) as needed.
