Form Type Properties Page

The Create New Form Type page allows you to add new form types to the system.

The fields and buttons on this page are:

  • Create (Add Mode): Click to create the form after required fields have been completed.
  • Cancel: Click to disregard changes and return to the Manage Form Types page.
  • Delete (Edit Mode): This button is only visible to account administrators. Click to delete the form type and all of its associated instances from the account. Once deleted, data cannot be recovered, but details of the deletion can be viewed by running an audit log report on the Forms module. You will be required to enter your e-Builder password before the deletion can occur.
  • Copy (Edit Mode): Click to copy the form type and all of its properties, form fields and permission settings. Copying form types is a quick way to create additional form types with similar attributes, and reduce the amount of settings that need to be configured.
  • Save (Edit Mode): Click to save changes to form type properties.
  • Form Type Name: Enter the name of the form type. For example, RFIs (Requests for Information), Accident Reports, and Lessons Learned.
  • Form Type Prefix: Enter a prefix for the form type, usually the first few letters of each word the Form Type Name. For example RFI for Request for Information.
  • Description: Enter a description of the form type that tells users how they might utilize the form.
  • Default To: Click to select a person that the form should be sent to by default. Choose from the following options in the Allow Change to "Default To"? field:
    • Yes - Choose to allow users to change the default recipient. This is the default setting.
    • No - Choose to restrict users from changing the default recipient.
  • Default "CC": Click to select a person that the form should CC (carbon copy) by default. In the Allow Change to "Default CC"? field, select from the following options:
    • Yes - Choose to allow users to change the name of the defaulted CC'd recipient. This is the default setting.
    • No - Choose to restrict users from changing the default recipient.
  • Interpret Form As:
    • Standard Form Type - Select to make this form a standard form
    • Project Issue - Select to make this form a project issue form. See About Project Issues for more information.
  • Type of Form: Click to make this form a workflow or static form.

    Once the form has been created this cannot be changed.

    • Workflow (Routable Form) - Used when a specific response is necessary from the recipient(s). For example, Workflow forms are used to send someone an item that requires approval or a written answer to a question. Workflow forms use the 'ball in court ' analogy to indicate who is currently responsible for taking action on an item. Examples include:
      • Requests For Information
      • Change Orders
      • Contract Approvals
    • Static (Not Routable) - One-way communications to team members, often communicating the procedural information status of specific items. Static forms are mainly for informational purposes. Examples include:
      • Daily Log Reports
      • Accident Reports
      • Fields Observations
  • Link Closed Form To: Select another form to link this to when it is in "close" status. When this form is closed the form selected in this option will automatically open to be completed.
  • Archive Closed Form?:

    The selection of a project is as a template, all closed instances will not go into that project.

    •  No - Select if you do not want to archive these forms when they are completed. This is the default setting.
    • Yes - Select to archive the form when closed. Archiving forms places them in a select folder in the Documents module. The form will be saved in the project that the instance is created in.
  • e-Builder mobile Enabled?: Select this check box to make the form available in e-Builder Mobile applications.
  • Allow comments to be deleted:
    • No (Account Default) - Select to keep comments from being deleted. This is the default setting. If you wish to change the default selection, go to Settings > Account Settings, and select the Forms check box.
    • Yes - Select to allow the deletion of comments by any user.
  • Allow Forwarding?:
    • Yes - Select to allow the forwarding of these forms. This is the default setting.
    • No - Select to keep these forms from being forwarded.
  • Who Can Close Form?: This field allows you to select who is able to close instances of this form type. As the initiator of a form, you have full access to that form and therefore you're able to close it at any time. In the event that the form initiator switches roles and no longer needs access to this form, this setting allows you to restrict access and grant it to the appropriate parties.
    • Initiator - Select to give the form's initiator permission to close the form at any time. This is the default setting.
    • Recipient - Select to give the recipient of the form permission to close the form at any time.
    • All Roles - Select to give specific roles the ability to close instances of the form type at any time.
  • Allow Recipient to Close Form?:
    • Yes - Select to allow recipients of the form to close it.
    • No - Select to keep recipients of the form from closing it. This is the default setting.
  • Show Due Time?:
    • Yes - Select to show recipients the date and time that the form is due.
    • No - Select to not show recipients the time that the form is due. This is the default setting.
  • Select Project(s) that Form Type Should be Applied to: Use these settings to specify which projects the form will be available in.
    • All projects - Select to make this form available in all projects.
    • All projects except the following blocked projects - Select to specify the projects that this form should NOT be available in.
    • Only the following selected projects - Select to specify specific projects that the form should be available in.
    • Projects filtered by one or more custom fields - Select to specify projects based on project custom fields.
  • Prompt User to Notify Participants Upon Editing?:
    • Yes - Select to prompt users to notify participants when the form is edited. If selected, the following message displays whenever a user saves changes to a form instance:
    • No - Select to disable prompting users to notify participants when the form is edited. This is the default setting.
  • Allow External Comments to be Added After Respond By Date?:
    • Yes - Select to allow external participants to respond to the form after the Respond By date.
    • No - Select to disable responses after the Respond By date has passed. This is the default setting.
  • Allow External Users to View Attached Forms when External Comment is Requested?:
    • Yes - Select to allow external participants to view forms that have been attached to this form type when external comments are requested. This would only allow them to view attached forms up to one tier.
    • No - Select to prevent external participants from viewing forms attached to the forms they have been requested to comment on.
  • Allow Comments to be Added when Form is Closed?:
    • Yes - Select to allow comments to be added after the form has been closed. This is the default setting.
    • No - Select to disallow comments to be added after the form has been closed.
  • Require Folder When Uploading Documents?:
    • Yes - Select to require that users specify a destination folder within e-Builder when they are attaching documents. This is the default setting. This setting is strongly recommended for content tracking and file organization. Click Lookup to select the destination folder. Unless the Allow user to place the file in a different folder check box is selected, this will be the only folder users can upload files to.
    • No - Select to allow users to attach files without having to save them in the e-Builder Documents module.
