Add General Invoices

General invoices are not associated with commitments and may be issued for a subset of a budget line item, such as legal fees, builder permits etc., things that are required to be paid on the project, but not project-based contracts such as flooring, and other building material.

The invoice can be saved with or without invoice items at this time. You have the flexibility to added items to the invoice at any time while it is in the Draft status. Once action is taken on the item (Approval Requested, Approved, Paid etc.) you are no longer able to add invoice line items. To add line items after this draft is saved, simply edit the invoice.

  1. Go to the Invoice Details page.

  2. In the Quick Cost Summary section, click Add and then select General Invoice.
  3. Enter all required fields.

  4. Optionally, you can add invoice items at this time (Steps 6 - 10).

    To add invoice items later, click Save.

  1. Scroll down to the Invoice Items section, and then click Please Select A Line Item. The Budget Line Items dialog box displays.
  2. Click the account code link of the budget line item you'd like to add. Your selection is populated in the Invoice Items section.

    3. The following step only applies if funding is enabled on your account; otherwise, go to step 4.

  3. If a funding rule did not auto-populate or if you want to change the funding rule, click the Funding Rule drop-down arrow to select a funding rule or click the Edit link to enter a custom rule. Funding allocations must add up to 100%.
  4. In the Amount column, enter the amount of the invoice item.
  5. To add additional line items, click the Add link, and then repeat this procedure.
